Troubleshooting Your 2024 Scholastic Awards Entry

Deadlines for the 2024 Scholastic Art & Writing Awards are almost here. We know this is a tense time every year, but this year we are using a new application system and that comes with new questions and unfortunately a few growing pains. If you have been trying to contact us, please know we are working to respond to all of your queries. In the meantime, we would like to share some of the common problems and the solutions or a timeline for when we expect them to be solved. This page is where we will continue to provide live updates. You can scroll through common issues or skip to the category that is most relevant to you.

Troubleshooting Tips for Educators

You will need to create a new account for this new Awards portal as your account details could not be transferred from last year’s awards management system. We apologize for the inconvenience.

Search using the zip code of your educational program, not your personal address. You might also want to try variations on your school’s name. For example, if a school’s name is St. John Academy, it’s possible it’s in the system instead as Saint John Academy. Try typing in “John” to capture any possible variation of your school’s name.

If you still can’t locate your school or OEP, please email info@artandwriting.org and use the subject line #addmyschool. This will help us find your message as fast as possible. We are prioritizing adding programs and will let you know once your program has been added (or if we find it while searching!).

Educators can only view students that have registered and connected a work to that educator’s account. To appear in an educator’s account, a student needs to first create a work and attach an educator to that work. After this, the student will be listed on the educator’s participant page.

Educator dashboards only display information from either your art or writing region at a time. To switch between the two regions, use the dropdown menu on the left of the dashboard.

Educators cannot create entries. A teen must have already created an entry and attached their educator to that work. From there, an educator can edit the work in different ways, from changing basic information to completing the upload itself. See our video on editing student works.

Please create an *additional* educator account in your student’s region.

Educators must use a different email address for each regional program connected to their students. (Please keep reading for a helpful tip regarding multiple emails.) Use a working email address for each account so that you will receive important messages from the system such as password reset emails and notifications about student entries. Please note that your username for each account will be the email address you used to create it.

  • If you are a homeschool teacher, indicate that and list your student’s home zip code as your zip code.
  • If you are a teacher at a virtual school, select your school and list your student’s home zip code as your zip code.
  • If you are a teacher at an Other Educational Program, indicate that you are a homeschool teacher. List the same zip code as your student’s school. After creating your account, go to “School” to add your Other Educational Program to your account.

Pro tip: If you have a Gmail account, you can create multiple accounts using a single email address by adding “+” to your email address. For example: If your account is youremail@gmail.com, you could make the username youremail+nyregion@gmail.com, and emails sent to that address will still reach your inbox at youremail@gmail.com. To bulk pay, select multiple entries from the portal’s work tab and then click Change Payment. See our video on paying from an educator account. Payment options vary by region, but you may be able to:

  • Use a credit card (all regions)
  • Pay by check using an invoice (some regions)
  • Use a fee waiver (all regions)

You should pay by invoice if you are paying for multiple entries from a single student or entries from many students by check. To generate an invoice, follow the instructions in our video on paying from an educator account.

When you select to pay by invoice, the system will prompt you to input information for your invoice:

  • Name of person or organization that is paying (where is your check coming from?)
  • Email address of the person issuing the payment
  • Notes about your payment

There is no automatic confirmation for invoice creation. To download your invoice, click “Invoice” from the left panel of your dashboard. Here you can view, manage, and download invoices. This page will only show invoices that you have already generated. On the invoice, you will see instructions for mailing the check. Once you’ve downloaded your select invoice, email it to the person who will be completing your payment. Ask that they include a printed copy of the invoice in the envelope with their check.

Both educators and students are able to use a fee waiver through the online portal system. Educators can access the fee waiver on their Participant or Work tabs, where they can click to Change Payment and select to pay via fee waiver.

You can review an entry’s status through the Work tab of your dashboard. Seeing green checkmarks means you’re good to go! A red notification indicates a work is missing some element. You can also check the status of an individual work by viewing the specific work’s information page. A sidebar on that page will indicate if a work has been entered for judging.

We apologize for the inconvenience.Each region explored the possibility of extending their competition deadlines through February and unfortunately, some regions were unable to do so. You can locate your region’s deadline by using the Region Locator tool.  
 
The Scholastic Art and Writing Awards cannot accept entries once a student’s regional deadline has passed.  
 
The Scholastic Awards remains committed to showcasing incredible teen artwork and writing. We encourage 7-11 grade teens who missed the deadline to enter their amazing work at the start of the 2025 Scholastic Awards on September 1. 

In your student account, click “Parent/Guardian” from the left-side panel of your dashboard. If your parent or guardian has not yet granted permission, you will see a reminder button on this page to “Send a reminder.” This will send (or resend) the approval email to your parent or guardian’s email address. Make sure they click the link in the most recent email to grant approval! 

When entering the tools and materials used to create your work, press “Enter” after each individual entry. If you don’t, the information won’t be saved.

Providing a work has not been paid for, teens can delete a work from the main dashboard of their account. A delete button is located at the bottom of each entry thumbnail. There might be a delay when deleting works. For some students, a red error message might appear while attempting to delete a work. Refreshing the webpage will clear this error and delete the work from the dashboard. 

Outside of changing an entry’s category, teens and educators are free to edit a work as long as the deadline hasn’t passed!

Both educators and teens are able to use a fee waiver through the online portal system. On the Payment page, teens can check a box to indicate they would like to waive the fee for the entry. From there, they’ll be able to click to certify and complete the process. For more information, view our video walkthroughs on paying for work from a Teen account.

This information will not be seen by judges but may be used by administrators when reviewing work, such as for publication or exhibition purposes. Please provide any information or context that could be helpful.

Review a work’s status on the main page of your dashboard. If you see green checkmarks you’re good to go! Once a work has been paid for or had its fee waived, it is automatically entered for judging.

Troubleshooting Other Technical Issues

If you are a teen, your dashboard may be loading slowly or timing out. Your dashboard may time out, which means you cannot see and pay for works you’ve already created. This does not affect all participants. You can still create new works by clicking “Add Work” while your dashboard is trying to load. If you have a later deadline, we recommend waiting to access your account until later this week. 

Please check your regional deadline here. Some deadlines have been extended. If your deadline is later, we recommend trying to access your account again at a later date.  

If you are an educator, the list of your students’ entries may not load. This means you may not be able to see or pay for your students’ entries. Again, if you have a later deadline, we recommend waiting to access your account. If you must move forward with entries at this point, please follow the instructions on the Out of Portal Payment Form to complete payment for your students’ entries by your region’s deadline.

A current error is causing information discrepancies when educators are viewing their Work or Participant tabs. An entry might be displayed as not entered for judging, a participant might read as still awaiting parental approval, etc.

Sometimes, after completing payment for an entry, there is no in-portal confirmation or automatic external email generated to show proof of payment. We have filed this email in our records and logged your request for a receipt. 

Until this is resolved, participants and educators should check their credit/debit accounts to confirm if the payment went through successfully. If a credit/debit card was charged, please email info@artandwriting.org with the subject line: #needreceipt.  
 

If this is an urgent request, please let us know. 

There is a problem with searches not returning any results and with pages failing to load. This may prevent educators from seeing their list of participants and works, and may have kept students from uploading new work, etc. We know this is really frustrating and this is a problem we are working on around the clock.

If a parent has successfully received the email and granted permission, but your dashboard is still showing that permission was not granted, please note we are aware of an issue currently causing inconsistencies on the dashboard display of some accounts.

If a teen has sent the parental approval email multiple times, only the most recent link will work. Once a new approval email is generated, the code in the previous emails becomes invalid. Please make sure you are attempting to validate using the newest link. In the meantime, we recommend teens complete as much of their entry as possible—they should still be able to upload their work, connect to an educator, and opt in/out of any scholarships!

In order to connect with your student, please make sure that your student has selected you as the educator on the work. You can only see works and students after you have been credited. Check out this video to see how your students credit you on their work.

If you’re having trouble connecting with your students and are not paying for their entries, please encourage your students to complete their entries without connecting to your educator account. We will ensure you are credited as the educator on your students’ works before regional awards are announced. 

If you’re having trouble connecting with your students and are paying for their entries, please follow the instructions on the Out of Portal Payment Form to complete payment for your students’ entries by your region’s deadline.

You can send a signed PDF of the Parent Authorization Form to approvals@artandwriting.org. Your parent/guardian may digitally sign the form or print, sign, and scan the form. Completed forms should be emailed to approvals@artandwriting.org using the subject line #ParentAuthForm before the student’s regional entry deadline. The Scholastic Awards staff will link the parent consent form to the participating teen’s profile so their work can be qualified for judging. For this reason, it is extremely important that all information matches what has already been provided in the participating teen’s Awards portal profile. If you successfully follow the instructions to submit a PDF approval form, your approval will be processed within 1-2 business days. After the permission form has been processed, participants will notice that their parent/guardian email has been changed to approvals@artandwriting.org. This information must be left as-is until you receive additional guidance from your region’s administrator.
